The Emailed Statements tab allows you to monitor the status of statements you've emailed and troubleshoot delivery problems. Use this page to identify failed emails, locate recipients missing email addresses, and resend statements as necessary.
Navigating to Statement History
- On the left navigation menu, click Reports, then Giving.
- At the top of the screen, click Statement History.
Press the Emailed Statements button.
Emailed Statements List
When you send statements via email, the Emailed Statements tab displays each batch with the following details:
- Statement Name – The name you assign when creating the batch. Click it to go back to the Reports page with your filters preserved.-
- Date Created – The date the batch was generated.-
- Created By – The user who generated the batch.-
- Report Status – Indicates whether statements are In Queue (generating), In Progress (sending), or Completed.-
- Delivered – The number of statements successfully sent. Click the number to view a list of all recipients who received their statement.-
- Failed – The number of emails that failed to deliver. Click it to see which recipients had bounced emails so you can follow up.-
- No Email Address – The number of people in the batch without an email on file. Click it to see who needs alternative delivery methods.
Note: If there are zero bounced emails or zero people without email addresses, these columns will not be clickable.
Managing Delivery Issues
When email delivery problems occur, follow these steps to identify and resolve them.
Handling Bounced Emails
When an email bounces, it indicates that the email address is invalid or unreachable.
- Click on the number in the Failed column.
- Click a recipient's name to visit their profile.
- Update their information.
Distributing Statements Without Email Addresses
If someone in your batch doesn't have an email address on file, you can still deliver their statements by printing and mailing them:
- Click the number in the No Email Address column for the batch you need to handle.
- A modal will appear showing everyone without an email. If you have an email address for the recipient, click their name and update their profile with the email address.
- In the same modal, you can download Mailable Labels and Mailable Statements for those recipients.
- Download these files, print them, and distribute them manually or by mail.
Searching and Sorting
Use the search bar at the top of either tab to find statements by batch name. Click the Statement Name, Date, or Created By column headers to sort by that column. By default, statements are sorted by date with the newest statements first.
Downloading Statements
You can download statements for 120 days after they're generated. After that, the download button becomes disabled, but the batch record and status information stay on the page for up to 3 years for your records.
Naming Your Statement Batches
When you create a new batch of statements, whether for email or print, you'll be able to assign a name to it. A clear and descriptive name makes it simple to locate and reference the batch later on the Statement History page. Names are limited to 50 characters.
Pro Tip: Use descriptive names for batches, like "2025 Annual Giving Statements" or "Q1 Giving Summary," so you can quickly identify which batch you need.
