Giving Statement History - Printed Statements

The Giving Statement History page offers a centralized view of all giving statements you've created, whether they were emailed or printed. Use the Printed Statements page to download giving statements and mailing labels.

 

Navigating to Statement History

  1. In the left-side menu, click Reports, then Giving.
  2. At the top of the screen, select Statement History.
  3. Click the Printed Statements button.

Printed Statements List

The Printed Statements list shows each batch with:

  • Statement Name – The name you gave when creating the batch. Click the name to go back to the Reports page with your original filters already set.
  • Date – When the batch was created.
  • Created By – The user who made the batch.
  • Report Status – Indicates if statements are In Queue (generating), In Progress, or Completed.
  • Recipients – The number of people in the batch. Click this number to see all recipients.
  • Statements – Click the download icon to get a zip file with Mailable Labels and Mailable Statements for printing and distribution.

Important: If a recipient doesn't have a mailing address on file, a statement will be included, but not a mailing label.

 

Search and Sort Statements

Use the search bar at the top of either tab to find statements by batch name. Click the Statement Name, Date, or Created By column headers to sort by that column. By default, statements are sorted by date with the newest statements first.

 

Downloading Statements and Mailing Labels

Click the download icon in the Statements column to download a zip file containing Mailable Labels and Mailable Statements. You can download statements for 120 days after they're generated. After that time, the download button becomes disabled, but the batch record and status information stay on the page for up to 3 years for your records.

 

Naming Your Statement Batches

When you create a new batch of statements (for email or print), you can assign a name to it. A clear, descriptive name helps you easily find and reference the batch later on the Statement History page. Names are limited to 50 characters.

Pro Tip: Use descriptive names for batches, such as "2025 Annual Giving Statements" or "Q1 Giving Summary," so you can quickly identify the batch you need.
