Workflow Samples: Practical Ministry Solutions

Discover how to create 10 practical workflows to enhance your ministry’s operations. These examples will help you automate and streamline tasks, saving time and improving efficiency.
Steps to Create a Workflow
- Access the Workflows Section
- Navigate to the left-hand sidebar menu.
- Select Workflows from the menu options. (Refer to Screenshot: “Workflows highlighted in the menu.”)
- Start a New Workflow
- Click on the Add tab at the top of the Workflow page.
- Fill in the Name field with a descriptive title for your workflow (e.g., “Birthday Notification Workflow”).
- Optionally, add a Description to explain the purpose of the workflow.
- Ensure the Active checkbox is checked to enable the workflow. (Refer to Screenshot: “Add Workflow interface.”)
- Add Triggers
- Click the green + Add Trigger button.
- A list of trigger options will appear (e.g., “Individual—Date Field,” “Giving—Amount,” “Group—Membership Duration”).
- Select the appropriate trigger for your workflow. For example:
- If you’re creating a birthday notification, choose Individual—Date Field and configure it for birthdays.
- Specify the event conditions (e.g., “Birthday is today”). (Refer to Screenshot: “Triggers interface.”)
- Add Actions
- Click the green + Add Action button.
- A list of action options will appear (e.g., “Email,” “SMS,” “Admin Message”).
- Select the action that corresponds to your workflow. For example:
- To send an SMS for a birthday, choose SMS.
- Configure the SMS message by writing a custom message (e.g., “Happy Birthday @NAME! We hope you feel celebrated today!”).
- Specify recipients, such as the individual, their parent, or group leader.

Complete or Add More Logic

Click the Done button to finalize the current trigger and action logic.

If you’d like to add more triggers and actions within the same workflow, click the green + Add Trigger and + Add Action buttons to build additional logic.

Save the Workflow

Once you’ve added and finalized your triggers and actions, review your workflow setup.

Click the Save button to activate your workflow.

- Test Your Workflow
- Navigate to the Log tab to monitor activity and ensure your workflow is functioning correctly.
- Check the log for successful trigger and action executions. (Refer to Screenshot: “Log interface showing triggered actions.”)
