Profile Visibility: Members can Manage Personal Information Privacy

Profile Visibility gives you and your members control over what personal information is visible to other users. In other words, profile visibility allows you or your members to manage the privacy of their personal information. 

For example, a cell phone number can be visible to Church Staff or Group Leaders but not to members who can only access the online directory. 

Important: These settings apply ONLY to what your members can see in the browser and in mobile apps. Printing a directory does not follow these same permission preferences.

 

How to Access Profile Visibility Settings

On an individual's Profile Record, access Profile Visibility by clicking the Tri-Dot icon on the Picture/Name card.

Profile Visibility Privacy Options

For each profile field listed, four visibility levels are provided, ranging from the least publicly visible on the left to the most publicly visible on the right. 

ChMS Permissions Roles People Add-Edit checkbox.pngImportant: As the subtext indicates, Visibility Settings do not prevent software Admins or users assigned a Permissions Role where People > Add/Edit is selected from viewing all an individual's profile fields.

 

  1. None (leftmost option, unlabeled in header): If the profile visibility bar is dragged the entire way to the left, only software Admins or other users with standard permissions can view this information.
    • In the example above, Address 2, Home Phone, and Work Phone are only visible to software Admins or users who have been provided access through a Permissions Role. Unless granted appropriate permissions, no one can view this information in the Directory or a Group.
  2. Group Leaders (second from left): Only visible to Group Leaders that the individual is within.
    • In the example above, the Address field would be visible to Group Leaders when viewing their Group Members or when viewing the individual within the Directory.
  3. Group Members (third from left): Visible to both Group Members and Leaders who are part of the same Group, but not visible in the Directory if the user viewing the Directory is not part of the same Group.
    1. In the example above, Secondary Email, Birthday, and Age would be visible to Group Members/Leaders when viewing Groups or the Directory. 
       
  4. Directory (rightmost): Visible to anyone with access to Groups or the Directory.
    1. In the example above, the Cell Phone and Primary Email fields would be visible to anyone who views the Directory or who can view the Group the individual is part of.

Reminder: As a ministry, you maintain global control over which of these fields are visible in the Directory. 

These can be managed under the Gear Icon Settings-Gear-Icon.png > Settings > Permissions > Global

 

How to Provide Members Access to Profile Visibility: 

Editing this information can be adjusted by the individual if the Global permission is enabled for updating their own record. 

Changes to Visibility settings are saved and applied immediately. They are not affected by the "Propose Changes" process.

Who Can Access Visibility Settings

Visibility settings can be updated by any user with Add/Edit access to a record with a Role or Leader Role. These options are found in Settings > Permissions > Roles/Leader Roles.

Viewing other members within a Group is managed on a group-by-group basis. 

This is especially helpful for small groups and teams that want members to be able to communicate with each other and access personal contact information that may be restricted in the Directory.

To allow Group members to view other members, within Group Setting Options, Allow Members and Leaders Of this Group to View other Active Members of the Group must be checked off (below).
