Interactions are a way to record and log a connection with a person in your database.
Interactions can be visible to some users or hidden from others. A great example might be prayer or counseling notes that should be hidden from most database users.
Combining well-named Interaction Types and customized Permissions will provide plenty of flexibility.
(Learn more about creating and customizing Interaction Types).
Enable Interaction Permissions
To enable interactions for a Role or Leader Role, edit the role, then scroll down to the Interactions heading and check off ENABLE.
Provide All Interactions Permissions
To quickly enable all permissions for a given role, click Select All beside All Types heading. This will give the role complete access to every interaction type.
Note: Enabling ALL permissions is typically reserved for a very limited number of people.
The ADMIN role provides FULL permissions for every interaction Type.
Customize Interaction Permissions
The more widely implemented option is to create customized permissions based on the Role or Leader Role function.
For example, let's assume you have a Prayer Ministry. A potential setup could look like this.
The Prayer Team has full permission to manage and follow up 'general' prayer requests.
However, let's assume they receive a prayer request only to be shared with the pastoral staff.
They can only create and assign "Private" prayer requests to a pastor. (After an assignment is made, they can no longer view it or any follow-up notes by the pastoral staff.)
Interaction Permission Options:
- View - View only the details of the interaction. No editing rights available for any of the fields
- Assign - Provides the ability to create and assign interactions of this type to others.
- Log - Provides the ability to create an interaction of this type and complete it themselves.
- Edit - Adjust the details of an interaction.
- Delete - Will fully remove an interaction from the database.
Pro-Tip: For most interaction types that individuals are meant to manage, they will minimally need the permissions to View, Log, and Edit.
Note: Limiting permissions will also adjust the options that display on the Interactions > My Outstanding, Outstanding, and Completed pages for users with the associated Role.
